Workshop Stages

TermStorm guides your workshop through four consecutive stages. Each stage serves a specific purpose in the collaborative concept modeling process.

1. Collect Stage

Purpose: Gather concepts and ideas from all participants.

For Participants

  1. Enter concepts in the text area
    • Separate multiple concepts with commas or new lines
    • Example: Customer, Order, Product, Payment
  2. Add notes (optional) to provide context for your concepts
  3. Click Submit to add your concepts
  4. Click I'm Done when you've finished contributing

For Facilitators

  • Set the timer to give participants enough time (default: 5 minutes)
  • Monitor readiness via the progress bar showing how many participants are done
  • Advance to Discuss when the timer ends or all participants are ready

TIP

Concepts are deduplicated case-insensitively. If two participants submit "Customer" and "customer", they'll be merged with both listed as submitters.


2. Discuss Stage

Purpose: Review, organize, and refine the collected concepts.

For Participants

  • View the concept list with note indicators
  • When the facilitator selects a concept, you can add notes
  • See notes from other participants in real-time

For Facilitators

  1. Click a concept to open the details dialog
  2. Review submitters and any notes
  3. Edit concept names if needed (e.g., fix typos, clarify wording)
  4. Delete irrelevant or duplicate concepts
  5. Merge similar concepts using merge mode
  6. Add notes to provide context or decisions

Merge Mode

To merge similar concepts:

  1. Enable Merge Mode in the concept list
  2. Select the concepts to merge (click each one)
  3. Enter a name for the merged concept
  4. Click Merge

The merged concept will combine all submitters from the original concepts.

3. Vote Stage

Purpose: Prioritize concepts through participant voting.

For Participants

For each concept, choose one of three votes:

After voting on all concepts, click Submit Votes and then I'm Done.

For Facilitators

  • Set the timer to allow sufficient voting time (default: 5 minutes)
  • Monitor readiness to see when all participants have voted
  • Advance to Copy when voting is complete

NOTE

Votes can be changed until the stage advances. Once in Copy stage, votes are final.


4. Copy Stage

Purpose: View final results and export to Termboard.

Viewing Results

Concepts are displayed sorted by total vote score (highest first), with visual indicators:

Selecting Concepts for Export

  1. Click concepts to select/deselect them
  2. Use bulk selection buttons:
    • Select All: Select all concepts
    • Clear: Deselect all concepts
    • Green (N): Select all positively-voted concepts
    • Blue (N): Select neutral concepts
    • Red (N): Select negatively-voted concepts

Exporting to Termboard

  1. Select the concepts to export
  2. Click Copy Selected (N)
  3. Choose export options:
    • Include user comments: Add participant notes to explanation field
    • Use facilitator note as description: Separate facilitator notes into description field
  4. Click Copy to copy JSON to clipboard
  5. Import into Termboard (see Export to Termboard)

Workshop State Export

For backup or later continuation:

  1. Click Export Workshop
  2. Save the JSON file
  3. Import later via the workshop manager

Timer Controls

The facilitator can control the timer in timed stages:

Stage Transitions

Only the facilitator can advance stages. Stages can be advanced:

  • When the timer expires
  • When all participants click "I'm Done"
  • Manually by the facilitator at any time

IMPORTANT

Once you advance to a new stage, you cannot go back to previous stages.
